Instructions for making an information request.

What is an information request?

An information request refers to an inquiry about official records. According to the Publicity Act, everyone has the right to request official records. Official records can mean individual information, a document containing specific information, or a broader set of various types of material. A municipality’s obligation to provide official records only applies to the authority’s documents, not to other information or emails.

A short and clearly specified information request makes the work of the authority easier and speeds up the response. Include only the essential information in your request so that it is quickly clear what information is being sought.

Before sending the information request:

  1. Is the information you requested an official document?
  2. Does your information request concern a general and public document? If it does, you do not need to provide justifications for the request, nor do you need to prove your identity.
  3. Does your request for information concern a personal data file or personal data? Disclosure of personal data requires that you have the right to the information; Be prepared to provide your identity and the purpose for which the data will be used.

Please note that if the information you request contains confidential information, such as data about healthcare or social services clients, the information or part of it will be classified as confidential to the extent that you do not have access rights. If the confidential material cannot be separated from other material, the material cannot be provided.

How to send a request for information:

Send your information request to the registry office’s email address: tervolan.kunta@tervola.fi or directly to the official or employee responsible for the matter. If you do not know who will respond to your request, send it to the registry office, where the information request will be forwarded to the appropriate person.

An information request is generally processed without delay if the requested information is simple and readily available. For more complex matters, the response time is two weeks, and for requests requiring special measures or involving a large amount of work, one month.
